The project of implementing HRB, a corporate HR management information system, completed successfully at "Providna"

"PROVIDNA" insurance company and "Septima-Consulting" have successfully completed the landmark corporate HR management information system implementation project based on HRB software.

One of the key priorities for Providna Insurance Company is the quality of business process organization based on state-of-the-art IT solutions, which will enable gaining an operational advantage through an efficient business setup. As part of the implementation of this business objective, a corporate HR management information system is to be implemented. The main objective of the project was to acquire a competitive edge through efficient human resource management and development, as well as enabling high-quality and prompt centralized administration of accounting functions, against the background of the company's rapid growth.

The implementation of the HR management system at "PROVIDNA" Insurance Company comprised several phases. Phase one was completed with the implementation of HRB basic functionality; during the second phase the extended functionality of HR module was set up. The third phase was completed with the implementation of automatic bonus calculation for the employees and insurance agents. The consultants of Septima-Consulting Company configured the integration with 1С accounting system, client bank and the corporate insurance system INSIS during the fourth phase of the implementation.

Additional HRB functionality was launched during the fifth phase of the project: HR web portal. With an individual user account in the system, each employee of "Providna" Insurance Company using PC has gained accessed to his/her personalized information, in particular: payroll calculation, the company's plans regarding his/her motivation; vacation planning and receiving the announcements of trainings, corporate events, as well as other information. The web portal has become an efficient tool for defining the targets and incentivizing the employees, according to the company's strategic objectives. This was instrumental in accomplishing one of the most critical objectives of HR department - creating the environment and ensuring high level of employees' motivation, team building and efficient corporate culture, enhancement of the employees' qualification up to the highest level through training and development programmes.

The IT system has ensured the support of such functions as staff record keeping, work time recording, payroll and bonus calculation for the employees and insurance agents, in compliance with the company's HR policy and the requirements of the Ukrainian law. This enabled minimizing the company's financial and labor costs relating to HR management and salary accounting. Owing to the implementation of HRB system, HR managers can now concentrate more on motivation and staff development tasks, as well as budgeting and financial planning within their competencies.

The company-wide implementation of a single IT system in Providna Insurance Company enabled the centralization of HR record keeping and the unification of the processes relating to payroll accounting. Considering the company's geographically distributed structure, this allows saving a lot of funds for administration and support today.

According to the Head of IT Department of "Providna" Insurance Company, the implementation of HRB system has enabled obtaining one single point for the registration of IT systems' users, while closing all accounting systems so that all data are entered only in the corresponding system and this is done just once. It is extremely important for a continuously developing company that, owing to the HR self-service portal implementation, every employee can quickly get access to all staff and payroll information, irrespective of the distance from the office and the quality of communication lines. In particular, a manager has access both to his/her information, and to that of his/her subordinates.
